Bilingual Chinese-English Office Administrator

DESCRIPTION:
-
Maintain the office reception area
-
Greet and welcome guests
-
Answer all incoming calls and redirect them or keep messages
-
Receive and distribute letters, packages etc.
-
Prepare outgoing mail by drafting correspondence, securing parcels etc.
-
Check, sort and forward emails
-
Monitor office supplies and place orders when necessary
-
Develop and maintain a filing system, assist office staff in maintaining files and databases
-
Maintain contact lists
-
Monitor and reconcile expense reports
-
Prepare reports, presentations, memorandums, proposals and correspondence
-
Monitor office operations
-
Schedule meetings and conference calls for executives and upper level staff
-
Serve as the go-to for office inquiries and conflicts
-
Take up other duties as assigned (travel arrangements, schedules etc.)
REQUIREMENTS:
-
Bachelor's degree preferred
-
At least 1 year of experience in an administrative role, real estate background preferred
-
Able to analyze and revise operating practices to improve efficiency
-
A good problem solver and comfortable working in a fast-paced office environment
-
Exceptional communication skills; ability to effectively listen and respond to internal and external customers
-
Superior organization skills and dedication to completing projects in a timely manner
-
Ability to handle multiple tasks, and work independently in an organized manner with strong attention to detail and accuracy

Sufficient knowledge and ability to utilize following software: Microsoft Office, Word, Excel, Outlook, PowerPoint.

Authorized working status in the U.S. is required
